What the business plans change about uploads, and what they do not

Teams tend to move up expecting file handling to improve. Mostly it stays exactly where it was, with a larger project allowance and better administration around it. Worth knowing before the purchase order rather than after.

Three rows move as you read to the right. Everything that governs how much of a document ChatGPT can take in stays flat all the way across.

The one genuine difference

OpenAI's File Uploads FAQ, on images inside documents:

ChatGPT Enterprise supports Visual Retrieval for PDF files.

All other plans and document files only support text-based retrieval. This means that ChatGPT will extract digital text from the file and discard any images.

This is the only upload capability on the list that a business plan adds, and it is Enterprise only. Team does not get it. Business does not get it. Pro does not get it.

It matters more than it sounds. On every other plan a scanned contract produces nothing at all, the chart carrying the number in a quarterly pack is simply absent, and a slide deck that makes its argument in diagrams summarises down to a few headings. None of that is announced. The answer comes back fluent and confident, built on whatever text survived.

The numbers that do not move at all

512 MB per file. 2 million tokens per text or document file, with spreadsheets exempt. about 50 MB for spreadsheets, which OpenAI hedges itself because it depends on row size. 20 MB per image.

Identical on Free, Plus, Pro, Team, Education, Business and Enterprise.

The rolling rate of 80 files every 3 hours is unchanged too. Business plans lift the Free plan restriction of 3 file uploads per day, but so does Plus, and after that everybody is on the same rate. Failed attempts count toward it on paid plans as well, which is worth knowing if your team runs batch uploads.

Storage once there is an organisation

Two published figures apply. 25 GB per end user, and 100 GB per organisation.

Do the arithmetic before planning around it. Four people at their individual ceiling already come to the organisation figure, and ten people would come to 250 GB, so past a handful of seats the shared pool is the one that runs out first. One person with a heavy Projects habit can quietly spend what everyone else was going to use.

Storage also behaves unlike every other limit here. It is cumulative and it never clears on its own. Rate caps sort themselves out within the hour. Storage only goes down when somebody deletes the files themselves, under Settings then Storage or in the Library trash. Deleting the chat a file was uploaded to no longer removes it, so the old advice to clear out old conversations does nothing, and on a shared account the material filling the pool often belongs to someone who has left.

Projects and custom GPTs on a shared account

The project allowance is the row that genuinely improves. 25 files per project on Plus against 40 files per project on Pro, Team, Education and Business. For a team keeping a standing set of reference documents in one place, that extra headroom is the real purchase.

Custom GPTs do not improve. Knowledge is capped at 10 files per GPT for the lifetime of that GPT, not per conversation, on every plan. A shared internal assistant built on twenty policy documents does not fit, and no plan makes it fit. Concatenating related documents into one text file before uploading is the usual answer, since the cap counts files rather than length.

What the business plans change that is not a limit

Administration, mostly. Shared workspaces, seat management, retention controls and the usual compliance apparatus. Real reasons to buy, all of them, and none of them touch a number in the table above.

Data handling is the other one. OpenAI states it does not use content submitted to business offerings such as the API and ChatGPT Enterprise to improve model performance. If the objection to uploading company documents was about training rather than about size, that is the part of the decision worth examining.

Making the decision

Buy Team or Business for the shared workspace, the administration and the doubled project allowance. Sensible reasons, all three.

Buy Enterprise for visual retrieval, if your documents genuinely are scans and charts, and for the governance. Not for capacity.

Do not buy any of them expecting larger files, longer documents or faster uploads. Those ceilings are the ones you already have. When a long document is the problem, the fix is to send less at a time: convert it to plain text, send only the section that matters, or split it and send the parts in order with an instruction to hold the answer until the last one arrives.
